When creating a new property report with Inventory Egg, there are a variety of time-saving options, providing efficient setup for each scenario, whether it may be a first visit to the property or a property with previous reports saved on the system.
Common situations include:
The process differs slightly for each case so let's take a look within the app:
From the App HomePage, choose 'Add/New'.
Then choose the report-type. Choose from including Inventory, Inventory/Check-In, Check-In, Midterm/Interim and Check Out.
Once on the 'Add Report' page, there are a few options, depending upon whether you have a previous report for the property or even a report for a very similar property.
Using Room/Item Defaults
If you have no previous reports for the property, enter the property address (Address Line 1 and Town are mandatory).
Note: if you have previously saved a report for a similar property, that report can be used as a template for the new property and report. See below, the Property/Report Lookup section
Then select the type of property after tapping the 'Property Type' dropdown menu
Once the property-type has been set, scroll down to check remaining settings. Rooms will be set according to the Property Type. For each room, a set of items/contents will be assigned, according to the type of room.
You can also adjust the number of bedrooms and bathrooms. Any rooms not required can be removed and/or more rooms added, later. Items/Contents can also be adjusted.
If you prefer not to use the default Rooms or Items, just turn off the relevant switch. You can then assign rooms and/or items manually.
You can also set the Number of Tenants although not essential and can be adjusted later. Named tenants can also be added later and can sign the Report within the App. Where the 'Number of Tenants' set exceeds the number of named tenants, additional, blank fields will be provided on the final report so that currently unnamed tenants can sign at a later time.
Tap 'Save' to finalise the setting up of the new report.
Property/Report Lookup
If you've been to the property before (and have reports on the system) or wish to use an existing report as a template for a new property, you can use the Property/Report Lookup.
Once on the 'Add Report' page, tap the Property/Report Lookup button which will open the Lookup page.
Start typing the property address in the field at the top, then tap on the desired property from the dropdown (see screenshot below).
A list of any historical reports for the property shows in the List-Box below.
We advise using the latest Inventory Report for the property (although any previous report can be used). Tap on that report to use it as the basis for the new report (which will be linked to the same property address).
The way in which a new Report inherits from a previous report may vary, but works in a logical manner within the Report-Workflow-Cycle (see Blog article), as follows:
Note: there is the option to 'Use the Property Address only'. The new report will be linked to that address although the new report won't inherit rooms/items but can be populated using Room/Item defaults according to the property-type. This option might be suitable where a Property has been added via the website dashboard but no reports yet assigned.
There is also a second option, to Use report as template only. Note: the summary, in red, below the switch shows the workflow selected.
With 'Template' switch OFF (default):
Property/Report details are brought into the new report and the address fields automatically populated.
The new report will be linked to the same property.
This setting is the one normally used, for example, when creating a Check Out referencing a previous Inventory or when creating a new Inventory based on a previous one (for the same property, usually referencing a previous Inventory Report).
With 'Template' switch ON:
Report details are brought into the new report (including rooms/items/contents etc.) but the address fields in the new report are blank and will need to be entered manually.
The new report will NOT be linked to the same property and is for a new property. A new property will be created.
Once the source-report has been chosen, you'll be taken back to the main 'Add Report' page. There are further options regarding choices on areas that are passed from the old report to the new one but generally, the default settings should be fine. However, if you wish to view or change them, see the next section below...
Source Report Options
As well as inheriting Rooms/Items from the existing report, there are options on which areas will be used.
Tap on the 'Source Report Options'button to view or make changes to these settings:
Once you're happy with the setting, tap 'Save' to finalise setting up of the new report.
